Privacy Policy

BeltDash is operated by New Economy Masters Pty Ltd (ABN 36 135 462 270), Suite 8, 84 Wises Road, Maroochydore QLD 4558, Australia. This policy covers the BeltDash software, the Martial Arts VIP member app and this website. We comply with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. Our role

  • For student and family data, the school decides what is collected and why. We handle that data on the school's behalf. For questions about your details at a school, contact the school first.
  • For our own customers (agencies and schools who buy from us) and visitors to this website, BeltDash decides how data is used.

2. What we hold

  • Students and account holders: names, email, phone, date of birth (if the school provides it), photo (if the school adds one), parent or guardian links for children, programs, enrolments, belt ranks, attendance, gradings and class bookings, uniform and belt sizes, trial and membership dates.
  • Member app: the email or phone used to sign in with a one-time code, messages between the family and the school, notification tokens (when enabled), and device location at the moment a member taps Check In, used only to confirm they are at the school and not stored.
  • Customers: business name, contact details and billing details (processed by our payment provider; we do not store card numbers).
  • Website: details you enter in forms, and usage data.

We do not hold medical information or emergency contacts. Those stay in the school's CRM.

3. Children

Many students are children. Their details are provided by the school and the child's parent or guardian, not collected from the child. The member app is for parents and adult students; children use it under a parent's account. We do not use children's data for advertising, profiling or anything other than providing the service to the school.

4. How we use data

  • To provide attendance, enrolment, rank and curriculum features to the school.
  • To sync student records with the school's CRM.
  • To provide the member app: check-in, progress, notifications and messaging.
  • To keep the service secure, fix faults and provide support.
  • For customers: billing, account management and service notices.

We do not sell personal information.

5. Where data is stored and who we share it with

Data is hosted on Amazon Web Services in Sydney, Australia. We use these providers:

We share only what each provider needs. We disclose information to authorities only where the law requires it.

6. Retention and deletion

  • A school's data is kept while its account is active.
  • When a school uninstalls BeltDash or cancels, its data is deleted within 90 days unless it asks for an export first or the law requires us to keep it.
  • Families can ask the school to delete their data, or email us and we will pass the request on.
  • Backups are overwritten every 14 days.

7. Security

Data is encrypted in transit, access tokens are stored encrypted, access to production systems is restricted, and each customer's data is kept separate.

8. Data breaches

If a breach is likely to cause serious harm, we will notify affected schools without undue delay and notify regulators where required, including under Australia's Notifiable Data Breaches scheme.

9. Your rights and complaints

You can ask to access or correct your information, or make a complaint. Email beltdashprivacy@beltdash.com or write to Suite 8, 84 Wises Road, Maroochydore QLD 4558, Australia. We aim to respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
